Executive Assistant, Development


DEPARTMENT:
The development department builds key strategic relationships with our philanthropic community to raise critical funds for Segerstrom Center for the Arts, a non-profit organization.  We work closely with individuals, corporations, and foundations to make the renowned, life-changing work we do possible, raising more than $14 million annually. Segerstrom Center for the Arts was built through philanthropy, and it is at the core of our vision for becoming the model of the successful performing arts center of the future.

JOB SUMMARY:
This role is an extension of the Vice President of Development for administrative support, Board relations and serves as a central resource for Development staff.

JOB DUTIES*:

  • Provide Support to the VP of Development (30%) 
    • Manage calendar and schedule all meetings for VP of Development
    • Provide meeting preparation support by creating agendas and prepping all materials
    • Keep an active “To-Do” for VP and ensure all tasks are completed
  • Board Support (30%) 
    • Execute logistics and record minutes for the Center Fund Committee and Board Development Committee meetings
    • Coordinate Board Onboarding and Orientation for new members
    • Track Board Giving and Board meeting attendance
    • Create annual Board Report Cards
    • Support annual Board Trip  
  • Development Department Support (25%)
    • Track departmental budget and spending
    • Expense Reports for VP of Development, AVP of Development, Director of Institutional Giving and Senior Director of Gift Planning Strategies
    • Schedule and create agendas for weekly department meetings
    • Provide Support to AVP of Development
    • Provide support to Special Events, Gift Planning, Individual Giving and Institutional Giving as needed
    • Serve as the HR coordinator for the Development department including  interviews and new staff onboarding  
    • Plan departmental celebrations
    • Take RSVPs for and work special events as needed
  • Appointment Setting (15%)
  • Schedule donor visits for frontline fundraisers with select prospects 

*Other duties may be assigned by the supervisor in support of departmental goals

REQUIREMENTS:

  • Bachelor’s degree or equivalent work experience
  • 1-3 years of administrative support experience, preferably in a fundraising environment

COMPETENCIES: 

  • Excellent computer skills, including Word, Excel, and PowerPoint.
  • Well-organized with great attention to detail
  • Able to handle sensitive information with discretion 
  • Excellent written and verbal communication skills
  • A team-player with a “can-do” attitude who proactively looks for ways to help the team
  • Willingness to work evenings and some weekends, as needed
  • Strong work ethic and a good sense of humor

PHYSICAL DEMANDS: 

  • Frequently perform desk-based computer tasks, use telephone, and writing by hand 
  • Routine walking/standing 
  • Occasionally lift/carry objects weighing up to 20 pounds 
  • Ability to speak clearly with sufficient hearing to communicate effectively 
  • This job’s specific vision abilities include close vision, distance vision, and the ability to adjust focus
  • Valid driver’s license and reliable transportation

WORK CONDITIONS: 

  • Office setting with normal noise level in the work environment but can fluctuate depending on scheduled events.

COMPENSATION: 

  • 403B with match

  • Salary Range: $27.00 - $29.00/hour
